Privacy Policy for KMB-Talk

This Privacy Policy explains how the KMB-Talk mobile application ("KMB-Talk", "the app", "we", "us", or "our") collects, uses, and protects your information. KMB-Talk is a business management tool that helps small traders and resellers manage inventory, sales, credit/debt, and financial reconciliation.
By creating an account and using KMB-Talk, you agree to the practices described in this Privacy Policy.
1. Who we are
KMB-Talk is operated by the developer of KMB-Talk ("the operator").

2. Information we collect
We collect only the information needed to provide the app's features.
a) Information you provide
- Account information: your name, email address, and phone number, used to create and secure your account and to sign you in.
- Business and financial data you enter: product/inventory records, purchase and selling prices, sales transactions, supplier and debtor records, payments, debts/credits, expenses, withdrawals, exchange rates, and related notes. This data is what the app exists to manage on your behalf.
- Employee/employer relationships: if you use the app as an employee acting on an employer's books (or as an employer), we store the link between those accounts to apply the correct permissions.
b) Information collected automatically
- Authentication tokens: a secure login token is stored on your device (in the device's secure storage) so you stay signed in.
- Push notification identifier: if you enable notifications, we collect a push token from the device's notification service so we can send you alerts (for example, low-stock reminders).
- App preferences: your language (English/French) and theme (light/dark) settings, stored to personalize your experience.
c) Information we do not collect
- We do not collect your precise location.
- We do not collect contacts, photos, microphone, or camera data.
- We do not use third-party advertising or sell your data to advertisers.
- Bluetooth is used only to connect to a thermal receipt printer you choose to pair. We do not collect or transmit any data through Bluetooth; it is used locally on your device to print receipts.
3. How we use your information
We use the information we collect to:
- Create, authenticate, and secure your account.
- Provide the core features of the app: inventory, sales, credit/debt tracking, payments, expenses, and financial reporting.
- Sync your business data so it is available across your sessions and devices.
- Send you operational notifications you have enabled (e.g. low-stock alerts).
- Maintain the security, integrity, and reliability of the service.
We process your data to provide the service you requested and to operate and improve the app. We do not use your business or financial data for advertising.
4. How your data is stored and protected
- Your data is transmitted over encrypted connections (HTTPS) between the app and our servers.
- Account passwords are stored only in hashed form and are never stored or transmitted in plain text.
- Login tokens are kept in your device's secure storage.
- Your business data is stored on our backend infrastructure hosted with our hosting provider (Contabo).
We apply reasonable administrative and technical safeguards to protect it.
No method of transmission or storage is 100% secure, but we take reasonable measures to protect your information.
5. Sharing of information
We do not sell your personal or business data. We share information only:
- With service providers that host and operate the app's infrastructure (e.g. our cloud hosting provider), strictly to run the service.
- Between linked employer and employee accounts, only to the extent needed to operate shared books, according to the permissions you set.
- When required by law, such as to comply with a legal obligation, court order, or valid government request.
6. Data retention
We retain your account and business data for as long as your account is active so the app remains useful to you. You can request deletion at any time (see Section 8).
When you delete your account, it is closed immediately and you are signed out. A 7-day grace period follows, during which signing in again offers you the option to restore the account. After those 7 days:
- Permanently erased: your name, username, email address, phone number, date of birth, and password. You can no longer sign in, and other users can no longer find you.
- Kept in anonymised form: trading records that another user is also part of — sales, debts and credits, payments, stock movements, and consignments — remain on that other user's books with your identity replaced by an anonymous marker. These records are also the other trader's own accounts: a supplier's record of what they were owed cannot be erased without destroying their books. The retained entries carry no name, username, email address, phone number, or date of birth, and are kept for as long as the counterparty's account exists.

7. Children's privacy
KMB-Talk is a business tool intended for adults (18+) and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
8. Your rights and choices
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data (most data is editable directly in the app).
- Delete your account and associated data. Both the mobile app (Home → profile icon → Account → Delete account) and the web dashboard (Settings → Delete account) provide a self-service deletion option; you can also request deletion by emailing us. - Withdraw consent for notifications by disabling them in your device or app settings.

9. International users
Your information may be processed and stored on servers located outside your country of residence. By using the app, you consent to the transfer and processing of your information in those locations, with the protections described in this policy.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top. Significant changes may also be communicated within the app. Your continued use of the app after an update constitutes acceptance of the revised policy.
